As Executive Assistant and Project Coordinator you will provide comprehensive, high level administrative support to the Group Chief Information Officer (CIO) and Group Technology Committee (GTC) within Group Technology, ensuring their offices run efficiently and effectively. The position is also responsible for supporting the planning and implementation of Qantas Group Technology Programs, the communication of resources and tools with employees, leaders and stakeholders, providing coordination, administrative project support and tracking progress towards project achievement, as required by the Executive Manager/s. The successful candidate will be highly adaptable and organised, with the ability to handle a dynamic environment.

Key responsibilities include:

  • Providing timely and effective diary management including the coordination of internal and external meetings
  • Proactively preparing presentations, reports and complex documents, ensuring excellent and consistent quality
  • Preparing routine correspondence and appropriate responses to incoming queries and emails
  • Organising international and domestic duty travel, accommodation and itinerary arrangements in accordance with accounting and expense policies
  • Organising functions, meetings and forums including arranging attendance of participants, venue, catering and preparing and distributing the relevant documents
  • Maintaining confidentiality for highly sensitive matters


What you’ll bring to the role:

  • Experience providing administrative support to senior leaders at Executive Management level
  • Highly developed time management and organisational skills with the ability to prioritise tasks in a fast-paced environment, coupled with a flexible approach
  • Ability to maintain a high level of confidentiality exercising discretion and tact at all times
  • Strong interpersonal skills with the ability to effectively communicate with all levels of management and other team members
  • Advanced Microsoft Office skills, specifically Outlook, Word, Excel and PowerPoint.
