Job Description

Are you ready to play a pivotal role in delivering high-impact programs and events that reach over 20,000 employees across Qantas Airlines and QantasLink? We are seeking a Senior Program & Logistics Specialist to lead the end-to-end coordination and execution of program and event logistics for some of our most visible and complex People initiatives—including the flagship “Feel the Difference” program.

This is a key contributor role, operating with a high degree of autonomy and responsibility. You’ll design, deliver, and lead logistics initiatives, ensuring alignment with program objectives and broader strategic priorities. You’ll also drive continuous improvement, anticipate and mitigate logistical risks, and help shape the future of People programs at Qantas.

Key Responsibilities

  • Lead the development and execution of all program logistics initiatives, working closely with internal and external stakeholders.
  • Develop and maintain detailed program plans and schedules to ensure effective and timely logistics management.
  • Coordinate with rostering teams to enable participation from the Qantas Airlines and QantasLink workforce.
  • Manage procurement processes, ensuring compliance with organisational policies.
  • Track logistics budgets and escalate variances as needed.
  • Prepare and distribute program materials, agendas, and communications to participants and stakeholders.
  • Maintain a centralised database of contacts, suppliers, and service providers.
  • Develop communication strategies and content for program engagement, including digital resources on SharePoint.
  • Serve as the primary point of contact for stakeholders, facilitating engagement and collaboration.
  • Identify and implement continuous improvement opportunities in logistics and program delivery.
  • Oversee data management and reporting, ensuring accurate and timely information in systems such as Workday.
  • Comply with Qantas Group management systems and policies, acting as a safety leader and promoting safe work practices.

About You

  • 5+ years’ experience in program and logistics coordination, preferably in a complex or multi-stakeholder environment.
  • Tertiary qualification in Human Resources, Business Administration, or similar.
  • Proven experience in program coordination and logistics management.
  • Strong organisational and time-management skills, with the ability to manage multiple programs concurrently.
  • Excellent written and oral communication skills, able to engage all levels of the organisation.
  • Proficiency in program reporting platforms (e.g., Workday, Qualtrics) and advanced MS Office Suite skills.
  • Analytical skills to monitor program performance and provide actionable insights.
  • Problem-solving skills with a proactive approach to anticipating and resolving issues.
  • Ability to work collaboratively within cross-functional teams and influence independently.
