As Executive Assistant and Coordinator you will be responsible for coordinating all activities across the department along with providing high level administrative and secretarial support to the Head of Group Finance Shared Services and their direct reports, ensuring that the department runs efficiently and effectively.

Key responsibilities include:

  • Providing timely and effective diary management including the coordination of internal and external meetings
  • Organising functions, meetings and forums including arranging attendance of participants, venue, catering and preparing and distributing the relevant documents
  • Proactively preparing presentations, reports and complex documents, ensuring excellent and consistent quality
  • Preparing routine correspondence and appropriate responses to incoming queries and emails
  • Organising international and domestic duty travel, accommodation and itinerary arrangements in accordance with accounting and expense policies
  • Coordinating interviews and inductions for new team members
  • Maintaining confidentiality for highly sensitive matters.

What you’ll bring to the role:

  • Experience providing administrative support to senior leadership team in a corporate environment
  • Highly developed time management and organisational skills with the ability to prioritise tasks in a fast-paced environment, coupled with a flexible approach
  • Ability to maintain a high level of confidentiality exercising discretion and tact at all times
  • Strong interpersonal skills with the ability to effectively communicate with all levels of management and other team members
  • Advanced Microsoft Office skills, specifically Outlook, Word, Excel and PowerPoint.
